The 12th European Conference of Medical and Health Libraries will be held in Estoril, Portugal.

We are expecting more than 400 medical and health science librarians and information specialists to participate in the conference.

The exhibition dates are: 16 -18 June 2010


The exhibition area is located in the entrance hall of the Estoril Congress Center (see floor plan).

STANDS: installation and removal
Installation of stands will be made Tuesday, June 15
Removal of stands will be made Friday, June 18

Wednesday, June 16 from 9.00 to 18.00
Thursday, June 17 from 9.00 to 14.00
Friday, June 18 from 9.00 to 14.00
Companies that wish to take part in the exhibition that will take place at the Estoril Congress Center will have to sign a contract with APDIS – Associação Portuguesa de Documentação e Informação de Saúde / Portuguese Association of Health Documentation and Information – the association in charge of organizing the 12th EAHIL conference.

All exhibitors will receive:
  • Two full conference registrations; including lunches, coffees and welcome cocktail. Participation in the gala dinner has to be payed. (please remember that any extra participants in the exhibition have to pay full registration in the conference);
  • Product or activity presentation/training session (maximum 30 min) in one of the meeting rooms for an agreed number of participants, without cost. Please contact the conference office for details;
  • A list of all exhibitors will be added to the conference bag. Publicity in programme and book of abstract is available to an extra cost.

STANDS: conditions and prices

There will be two types of spaces to choose from, with or without stand. Both include use of internet connection and electricity but for spaces without structure the electric equipment is of the exhibitor’s responsibility.
  • Space only - minimum area of 4m2. The price includes exhibition area and carpet only. This is without any structure or equipment.
  • Space plus stand – you can choose from 4 different sizes, 2x2, 2x3, 3x3, 3x4
    • Includes: 
      • 1 table + 2 chairs (Spormex CJ202) PDF

      • electric equipment and 3 lights

  • space only: 250,00 EUR (plus VAT) /m2 (minimum 4m2)
  • stand 2x2 (4m2): 1204,00 EUR (plus VAT)
  • stand 2x3 (6m2): 1728,00 EUR (plus VAT)
  • stand 3x3 (9m2): 2502,00 EUR (plus VAT)
  • stand 3x4 (12m2):3324,00 EUR (plus VAT)

  • Having received the exhibitor’s contract signed, not later than March 15 - extended to April 15, the conference office will send an invoice on behalf of APDIS for the total payment.
  • The exhibitor’s contract is valid after the payment has been received no later than April 1st - extended to May 1st.
  • The organizers have the right to allocate the space reserved to another exhibitor if payment is not received by that date.

  • The conference office will confirm the exhibitors’ reservations and send detailed information with instructions and floor plan by the end of April 2010.
PLEASE NOTE that the allocation of exhibition space will be distributed at the discretion of the organizing committee.
If cancellation has been made by April 23rd 2010, 50 % of the exhibition fee will be refunded. After that date no refund will be made.
If the exhibition has to be cancelled or changed due to unforeseen events, or general force majeure, no claim for compensation can be made against the organizer.
