INFORMATION FOR EXHIBITORS

Where

The EAHIL 2008 Conference will be held in the Congress Wing of Finlandia Hall. Exhibition stands will be located close to the main congress halls and meeting rooms.

June 25th 16.00– Opening of the Exhibition

How to become an exhibitor

Companies willing to exhibit are welcome to make a contract with the Organizer of EAHIL 2008 Conference (Bibliothecarii Medicinae Fenniae ry). Please, see the attached exhibitor contract.

The Exhibitors will receive

• Two registrations for the conference, including lunches and coffees. Dinner cards for gala dinner are available for à 60 EUR. (Please note that all additional exhibitors need to pay regular registration fees.)

• Product or activity presentation/training session (maximum 30 min) in one of the meeting rooms for an agreed number of participants, without cost. Please contact the conference office for details.

• A list of all exhibitors will be published. Please note that advertisement in the program book or abstract book is available for an extra cost.

Exhibitor costs are

• Price per 1 m2 area is 350 EUR (VAT 0%)

• The minimum exhibition area is 4 m2

• The price includes exhibition area only, without any structures and equipment

Terms of Payment

• Having received the exhibition contract not later than 15th March 2008, the conference office will send an invoice on behalf of EAHIL 2008 Conference for the total payment.

• The exhibition contract is valid after the payment has been received not later than 1st of April 2008.

• The Organisers have the right to allocate the space reserved to another exhibitor should payment not be received by that date.

Confirmation and Detailed information

• The conference office will confirm the exhibition reservations and send detailed information with exhibition instructions and floor plan to the exhibitors by the end of April 2008.

PLEASE NOTE that the allocation of exhibition space will be distributed at the discretion of the organizing committee.

Cancellation and Refund Policy

• If cancellation has been made by 23rd April 2008, 50 % of the exhibition fee will be refunded. After that date no refund will be made.

Force Majeure

• If the exhibition has to be cancelled or changed due to unforeseen events, or general “force majeure”, no claim for compensation can be made against the organiser.
