Instructions for Presenting Authors

Oral Presentations

.

Plenary sessions

There will be 6 presentations divided into 3 plenary sessions of 60 minutes each; they all will take place in the main auditorium of the Conference Centre. Each plenary speaker will have 30 minutes for the presentation and for questions / discussion.

Parallel sessions

There will be 54 presentations divided into 5 parallel sessions and one “single”, non-parallel session: five 60-minutes sessions and one 90-minutes session, see the Scientific Programme. Every speaker will have 20 minutes for the presentation and for questions / discussion.

Guidelines for Speakers

  • Please leave your PowerPoint presentation in the Speakers’ Room at least two hours before your session.
  • If possible present yourself to the Chair prior to the start of the session.
  • Ensure that you keep to time, as a courtesy to other speakers who will follow.
  • Allow 15 minutes for presentation and 5 minutes for questions and time for change over.
  • Please speak clearly and slowly, remembering that for most participants English is a second language.

Poster Presentations

The poster session will open on the first day of the Conference, Wednesday 25 June, at 16.00. The time for putting up your poster will be on the same day, between 9.00-15.00. Upon registration you will receive a number for your poster, which will be clearly marked on the poster board and also used for identifying your poster on the final Conference Programme. Posters should be taken down before 12.00 Saturday June 28.

The size of a poster board will be 117 x 170 cm, portrait orientation. When designing your poster, please take into account that there should be c.10 cm margins. The poster board surface will only allow pinning; pins will be provided in the poster area, but you are also advised to take some with you.

Guidelines for Poster Presenters

§ Posters will be on display during whole Conference. There will be a designated Postern Session (Thursday 26 June, 11.30-12.30) during which the authors will be requested to stand by their posters and to present them to Conference participants.

§ The poster boards will be equipped with pockets for handouts (A4), which the authors are requested to provide.

§ Prepare the contents of your poster so that it is easy to read from a distance of one metre, use the same title as you have used in your abstract, and it is recommended that you structure your poster e.g.: Introduction, Objectives, Methods, Results, and Conclusions.

Conference Proceedings

Full text submission

The Conference Proceedings will include the full text of all the papers presented in the
plenary and parallel sessions and the abstracts of the poster sessions of the 11th EAHIL Conference. They will be published in PDF format on the EAHIL web site immediately after the Conference.

All the presenting authors are requested to submit the full text of their paper before the 30th April 2008.

Poster Authors do not have to submit a full text of their paper.

Please find below the instructions for submitting the full text of your paper:

  • All the papers should be submitted in Microsoft Word format, Times Roman 12, single spaced, Left justification.
  • The Title, Authors (with full names and surnames Affiliation (institution, town, country - all in English, if possible).
  • References sections follow the same style as for the abstract.
  • For more details, see the Template.

· The full text should be clearly structured, if appropriate, into sections, e.g. Introduction, Objectives, Methods etc: The titles of the sections should be in bold sentence case, subsections (if any) in italics. Do not number the sections.

· Tables and their captions should be inserted in the text and numbered with Roman numerals.

· Figures and their legends should be inserted in the text and numbered with Arabic numerals. All the figures should also be sent as separate files, JPG format, 300 dpi or less.

· Since the full texts will be published online, there is no strict limitation regarding the length. However, they should not exceed 20 pages.

Scientific Programme Awards

There will be four awards: two for oral presentations and two for poster presentations:

  • Best oral presentation
  • Best "EAHIL first time" oral presentation
  • Best poster presentation
  • Best "EAHIL first time" poster presentation
