Information for Exhibitors
Duration of Exhibition
Where:
The EAHIL Workshop wil be held at the Conference and Training Centre of
the Jagiellonian University Medical College, ul. Łazarza 16. Exhibition
stands will be located on the 2nd and 3rd floors of the Centre. Coffee and
tea will be served on both floors. This will give guests an opportunity to
talk, relax and visit the exhibitors' stands.
Plans:
When:
Sept. 12th, 12:30 to 18:00 - Time to arrange and prepare company goods and promotional materials on stands
Sept. 12th, 19:00 - Welcome Reception
Sept. 13th , 9:00 - Opening Ceremony
Sept. 13th, 10:15 - Exhibition starts
September 15th, 14:00 - Exhibition closing time. No dismantling or packing may be started prior to closing this time.
Shipping Instruction:
Please send all materials by August 31st , clearly stating your company name and stand number, to the following address:
Please notify us of your planned shipment by e-mail or phone.
Each exhibitor will be supplied with:
- one plug of 220 V plus an extension cable with 4 sockets;
- 1 table;
- 3 chairs;
- Internet access through Wi-Fi (many stands will be hard wired)
The Exhibitors will receive:
- Exhibitor badges
- 2 tickets for lunches during the conference
- Participant List
- Acknowledgement of sponsorship in all conference documentation
- 24 hours security in common area
Stand Specification:
Dimensions of the stands will be different (see tables & figures below). Some of them will not be precisely rectangular because of the exhibition area shape; size of a stand is related to its location. We provide Platinum and Gold Sponsors with non-standard tables that can be used in the stands arrangement.
The shapes and dimensions of stands are not definitely fixed and can be rearranged according to exhibitor/sponsor requirements (min. 3 m2).
Exhibitor costs are:
- Price per 1 m2 is 250 EUR;
- VAT and other fees are not included in this price
Terms of Payment:
The Order Form should be filled in and send by e-mail or fax by 16 April, 2007.
Upon receipt of the completed and signed order form, an invoice will be sent with the banking
details covering the 50% down payment. Order will be confirmed when the 50% down payment has been
received. Payment in full must be received by 1 July, 2007. The Organizers will be free to allocate
the space reserved to another exhibitor and the deposit forfeited should payment not be received by this date.
Cancellations:
Notification of cancellation or reduction of booth space must be submitted in writing to EAHIL Workshop Office:
Medical Library, Jagiellonian University Medical College and it will be accepted until 15 May, 2007 with the
refund of the total fee less 25% administration fee. No refunds will be given for cancellations or reductions
made after 15 May, 2007. Refunds will be delivered after the workshop.
Force Majeure:
Should the Exhibition be cancelled, curtailed or adversely affected by any cause not within the reasonable
control of the Organiser including but not limited to war, fire, national emergency, labour dispute, strike,
lock-out, civil disturbance, Act of God, or non availability of the premises for any reason, the Organiser
shall be under no obligation to refund all or part of the sums paid by the Exhibitor in respect of its
participation in the Exhibition and shall be under no liability to the Exhibitor or any other person in
respect of any actions, proceedings, claims, demands, losses (including consequential losses) costs or
expenses whatsoever which may be brought against or suffered or incurred by the Exhibitor as should at
the Organiser's discretion be considered just and equitable in all circumstances.

At the workshop dinner your company's name and logo will be prominently featured on each dining table and on the printed dinner menu.
Dinner Passes - Your company may invite up to three additional representatives to attend the Workshop dinner.
Conference Brochures - As the Workshop dinner sponsor your company's name and logo appear alongside other individual conference option sponsors in the Workshop binder, on the Workshop web page and on a display board in the Workshop registration area.
Company Literature and Giveaway - At the Workshop dinner, you will have opportunity to distribute one item of your company's literature and a gift/giveaway at each place setting.

Workshop Welcome Reception: 3,000 EUR
The workshop welcome reception will take place on the Wednesday evening and provides an excellent sponsorship opportunity as this is the established meeting place for first time attendees to make contacts and for previous attendees reaffirming existing contacts.
Signage Rights - At the Workshop welcome reception room signage will be restricted to only appropriate signage provided by the welcome reception sponsor.

Workshop Lunch: 2,000 EUR
Whilst taking place within the formal framework of the Workshop, an official lunch also provides the opportunity to emphasis your organisation's services or products in a more congenial setting.
Signage Rights - As a sponsor of a Workshop lunch you are entitled to provide appropriate signage in the lunch room on the day of your sponsored lunch. The signage in the lunch room each day will be restricted to only that of the lunch sponsor for the given day. At your sponsored lunch, your company's name and logo will be prominently featured on dining tables.
Lunch Passes - Your company may invite up to three additional representatives to the lunch.

Workshop Tea/Coffee: 1,000 EUR
There are tea and coffee breaks each day of the Workshop. Conference attendees often linger over a drink and snack for discussions during and after these breaks. Sponsorships includes tea and coffee breaks for a single day of the Workshop.

Hotel Accommodation:
A sufficient number of rooms in different price categories are reserved.
In all conference hotels blocks of rooms will be reserved for exhibitors.
