INTRODUCTION
The 10TH EAHIL Conference will be the first ever EAHIL conference in Eastern Europe. We are expecting between 350 - 400 international medical librarians and there will be a large contingency of librarians from the Balkan States and the former Eastern Bloc. We offer you an exceptional opportunity of making new contacts in these countries as well as renewing your contacts in Western Europe.

DURATION OF EXHIBITION
The exhibition area will open on Wednesday 13 September 2006 at 12.00 and will finish on Friday 15th September at 16.00. All stands should be completed by Tuesday evening. Registration will begin on Wednesday morning between 9am – 11am in the exhibition hall and the conference opening ceremony begins at 11am.

EXHIBITION AREA VENUE
The Exhibition Area will be held in the Collegium Academicum, which will be the Conference Location.
All coffee breaks will be held in the middle of the exhibition hall (the conference auditorium is on the first floor) and also entrance to one of the parallel Sessions rooms will be via the exhibition area, ensuring a continual flow of participants at all times.

STAND SPECIFICATIONS
Dimensions of the stand: 2 x 2 metres (front) (back = 2 x 4 m depth) as enclosed plan – stands 6,8,11,13 will be 3 X 2 in front and 4 x 2 in the back. The space behind can be used as a client interview point while the second exhibitor remains in the front. Stands 1-5 will have less space behind them (2 X 3) as there is an immovable desk but this can be used for
further display or as storage.

The organiser will provide open space stands only and every exhibitor will be supplied with:

- One plug of 220 Volts plus an extension cable with 4 sockets
- 1 large table and 1 small table
- 2-3 Chairs
- Internet Access
- 2 tickets for lunches during the conference

A number of Book Display cabinets are available which will be issued on a first-come,
first-served basis. Please specify if required at the signing of the contract.

THE EXHIBITORS WILL RECEIVE:
- Exhibitor badges
- Participants list.
- Acknowledgement of sponsorship in all conference documentation.
- 1 Banner

EXHIBITOR COSTS ARE:
EUR2000 (inclusive of tax) for each stand for the duration of the conference. Stands 1-5 and 14-15 will be EUR1700..

EXHIBITORS’ STANDS:
Stands will be assigned on a first-come, first-served basis, while spaces are available.

TERMS OF PAYMENT:
- A deposit of 50% is required by the 1 April 2006
- The remaining 50% of the balance due, must be paid by 1 July 2006

CANCELLATIONS
The Exhibitor must cancel their reservation in writing.

If the cancellation takes place after the 1 May 2006, the 50% reservation fee is non-refundable.

If the cancellation happens after the 30 June 2006, 75% of the agreed price is payable by the Exhibitor.

When the cancellation takes place after the 1 August 2006, the agreed price is payable in full by the Exhibitor. The Exhibitor is responsible for any extra costs which the organiser may incur through the fitting out of the stand space which is not being used.

In the event of the Exhibitor becoming bankrupt or going into liquidation or being under any appointment of a receiver, the Organiser reserves the right to cancel any display space allocation without being under any liability to refund or abate any charges paid or due herein

FORCE MAJEURE
Should the Exhibition be cancelled, curtailed or adversely affected by any cause not within the reasonable control of the organiser including but not limited to war, fire, national emergency, labour dispute, strike, lock-out, civil disturbance, Act of God, or non availability of the premises for any reason, the Organiser shall be under no obligation to refund all or part of the sums paid by the Exhibitor in respect of its participation in the Exhibition and shall be under no liability to the Exhibitor or any other person in respect of any actions, proceedings, claims, demands, losses (including consequential losses) costs or expenses whatsoever which may be brought against or suffered or incurred by the Exhibitor as should at the Organiser´s discretion be considered just
and equitable in all circumstances.


SPONSORSHIP OPPORTUNITIES

INTRODUCTION
There are ample opportunities for Company sponsorship at this conference. Listed below are the events and items that we offer for sponsorship. For further details and costs please contact swood@umfcluj.ro

Allocation of events to sponsors will be on a first-come, first-served, basis, and until the contract of sponsorship is signed, nothing will be finalized. The Gala Dinner could be sponsored by 2 or 3 different companies while each Saturday tour could be sponsored by one firm.


Dracula Sponsorship: Euro 6,000 – 10,000

For sponsorship of a conference event or item between 6,000 and 10,000 euros the
following benefits will be given:

- One exhibition booth of approx 10m2 [2mtrs width x 5mtrs length]
- Priority in allocation of exhibition space
- Sponsor supplied banner (size: 3 x 1 meters) displayed in Conference Site
- One full page advertisement in the final program
- One full page advertisement in the abstracts volume
- Company name and logo on conference web page and link to company World Wide Web Site
- Two conference registrations
- Two tickets for all lunches and social events
-Two extra tickets for the Saturday excursion of your choice

Vampire Sponsorship: Euro 4.000 – 6,000

For sponsorship of a conference event or item between Euro 4000 - 6000 the
following benefits will be given:

- One exhibition booth of approx 10m2 [2mtrs width x 5mtrs length]
- Priority in allocation of exhibition space
- Sponsor supplied banner (size: 2 x 1 meters) displayed in Conference Site
- One half page advertisement in the final program
- Company name and logo on conference web page
- One registration including one ticket to the Conference Gala Party
- One extra ticket for the Saturday excursion of your choice
